The problem
Bookings arrived from three OTAs, phone calls and walk-ins, with no single availability grid. The hotel overbooked twice in one month, and one of those times a guest was turned away after a 4-hour drive. Housekeeping had no live view of which rooms were vacant, checked out or under maintenance; the supervisor ran it all off a whiteboard. Checkout meant pulling charges from three places (room, restaurant, mini-bar), so the front desk had queues every peak morning.
What we built
A Property Management System with a live room availability grid and channel manager integration for Booking.com and MakeMyTrip, so every reservation lands in one calendar. Housekeeping tasks are assigned by room and updated from a phone. Checkout is one screen that pulls in every charge automatically. Management gets a dashboard with occupancy, revenue per room and where bookings come from.
What it includes
Outcome
No overbookings since the first month. Average checkout went from 12 minutes to under 4. The housekeeping supervisor wiped the whiteboard clean after week one and hasn't needed it since. Morning briefings now use live occupancy numbers instead of last night's spreadsheet export.
Common questions
Does the hotel PMS integrate with Booking.com, MakeMyTrip, and other OTAs?
Yes, through channel manager APIs such as Siteminder and RateGain. OTA reservations drop into the central availability grid automatically, and availability changes push back out to the OTAs in real time. That two-way sync is what stops overbooking. Direct bookings from your website, phone and walk-ins go into the same grid.
How long does hotel management software development take?
A custom PMS for 30–80 rooms with OTA integration, housekeeping and checkout billing usually takes 12–18 weeks. The channel manager integration depends on each OTA's API documentation and sandbox access. It's usually the slowest piece, so we start it in parallel with the core build.
What does custom hotel management software cost compared to buying a product like Hotelogix or IDS?
Hotelogix and similar products charge a licence per room per month. For a 45-room hotel that's a real recurring cost, plus customisation fees for anything outside the standard. A custom PMS costs more upfront, typically ₹8–18 lakh depending on scope, but there's no ongoing licence, and it's built around how your property runs rather than the average hotel the product was designed for.
Can the system handle different room types, seasonal pricing, and promotional rates?
Yes. Room types, seasonal rate plans and promo codes are part of the standard setup. If your rate structure is more involved, with long-stay discounts, corporate rates and OTA parity rules, we scope that separately in discovery so the rate screens match how your revenue manager actually works.
